About the Role
We are seeking a highly organized and detail-oriented Office Administrator to join our team in Japan.
Key Responsibilities:
1.Office Manager/Administrator (70-80%)
• Oversee daily office operations and ensure a smooth working environment
• Manage office supplies, equipment, and vendor relationships
• Coordinate facility maintenance and workspace organization
• Support budgeting and expense tracking for office-related costs
• Handle administrative tasks such as scheduling, travel arrangements, and meeting logistics
• Assist with onboarding and general HR support
• Ensure compliance with company policies and health & safety regulations
2.HR (10-20%)
• Coordinate and execute the hiring process, from job postings to onboarding.
• Work with hiring managers to identify staffing needs and develop recruitment strategies.
• Manage applicant tracking and ensure a seamless candidate experience.
Payroll & Social Insurance Management:
• Process payroll in compliance with Japanese labor laws and company policies.
• Handle statutory social insurance enrollment, updates, and filings in compliance with Japanese laws.
• Ensure timely and accurate social insurance filings, salary payments, deductions, and reimbursements.
• Maintain up-to-date knowledge of Japan’s labor laws and local HR regulations.
• Prepare and submit necessary filings for statutory benefits and employment laws.
• Ensure HR processes align with legal requirements, minimizing compliance risks.
• Develop, review, and implement HR policies to support company objectives.
• Serve as a trusted advisor to business leaders on HR-related matters.
• Facilitate employee relations initiatives and promote a positive workplace culture.
• Manage tax-related adjustments and ensure compliance with local tax regulations.
3.Exective Assistant (for Country Director) (5-10%)
• Provide high-level administrative support to executives
• Manage calendars, schedule meetings, and coordinate travel arrangements
• Prepare reports, presentations, and correspondence
• Handle confidential information with discretion
• Liaise with internal and external stakeholders on behalf of executives
• Assist in organizing company events and executive-level meetings
• Support expense reporting and budget tracking
• Perform other duties as assigned

Qualifications & Requirements:
• Bachelor’s degree
• 3-5 years of experience in office administrations in Japan.
• Excellent communication, organizational, and problem-solving skills.
• Ability to work effectively with cross-functional teams and senior management.
• Fluency in Japanese and English
Preferred
• Basic knowledge of Japanese labor laws, social insurance procedures, and tax regulations
