This role serves as the operational backbone for Supply Chain (SCM) and Inside Sales (IS) in our Japan business. Its mission is to ensure seamless order-to-cash operations, flawless trade compliance, and superior customer service by acting as the critical link between customers, commercial teams, logistics partners (3PL), and affiliate sources. The position is accountable for executing daily SCM/IS operations, managing documentation, and supporting business growth. A key component involves leading SCM/IS process improvement initiatives to contribute to the long-term sustainability of the Japan business.

RESPONSIBILITIES AND ACCOUNTABILITIES:

Inside Sales Responsibilities
• Order Processing: Create customer-facing Sales Orders (SO/STO/ICS) and issue official order confirmations.
• Customer Communication: Provide proactive and on-demand information to customers regarding delivery schedules and order status.
• Quality Management: Manage quality claims by creating Quality Notifications (QN) in SAP and oversee the credit note issuance process.
• Sample Handling: Process commercial requests for product samples and manage the return of defective samples for quality issues investigation.
• Product Stewardship Handling (Customer Facing): Raise product stewardship requests and lead customer communication regarding regulatory information.
• NPI Coordination: Coordinate with the Commercial & PM teams to ensure proper product information is available for customers for new product introductions.
• Position Report: Monitors sale position and provide requested commercial reports.
• CBI: Execute the monthly Collective Billing Instruction operation.


Supply Chain Management Responsibilities
• Order Fulfillment: Work with sources to confirm supply plans, create/change Stock Transfer Requests (STR) and Orders (STO), and monitor shipments to meet customer requests.
• Import Declaration Handling: Prepare import records (Import A), provide instructions to the 3PL, and manage preferential tariff documents (RCEP/EPA).
• Post-Clearance Procedure: Execute Post Goods Receipt (PGR), Post Goods Issue (PGI), and trigger the billing process.
• DTW Cost: Perform monthly input and reconciliation of domestic trucking costs based on 3PL invoices.
• Duty & Tax Reporting: Prepare weekly duty & tax reports and monthly forecast reports for the Finance Team.
• Report Generation: Create daily Order-to-Cash (OTC) and STO status reports as part of daily operations.
• Document handling: Archiving all shipping documents systematically, both electronically and as hard copies.
• 3PL Management: Understanding and managing the operational aspects and supporting procurement on the logistics service contract.
• Inventory Management: Take ownership for inventory—manage safety stock, scrap sales, optimize inventory levels, and drive aged stock reduction.
