MAIN PURPOSE OF JOB:
Success in these bid pro-cesses will be crucial for achieving this strategy and will be dependent on an innovative approach to adding value to pro-jects and bids.

The Bid Co-ordinator role will work in the bid team to deliver competitive and commercially robust bids. The role is responsible for providing highly effective and efficient bid-coordination and administrative support to the bid team. The role involves collating bid compliance and administration documents, supporting bid governance as well as data gather-ing/analysis and reporting to ensure that the team deliver against the requirements of all bids.

2.Bid Strategy and Preparation
Responsible for supporting bid strategy including pricing, value improvement, lobbying and bid programme, preparation of bid documentation. Challenge team and all commercial value drivers in economics to achieve a winning bid price. This role will be reporting to Project Manager/Director and involved in all bid related activities.

3.Bid Co-ordination
Manage bid compliance and documentation of allocated bids across the portfolio as well as providing bid administration support to the team. Ensuring we meet the client’s requirements (from pre-qualification to contract award) and governance. Review, assess and understand client requirements, timeline and objectives to effectively support the bid team in delighting the client.

4.Analysis
Support bid analysts in the production, co-ordination and reporting of competitor analysis drawing insights from this analysis.

5. Presentation
Prepare creative presentations and use digital media to provide bid reporting and communications.

5.Co-ordination and reporting

i. Act as point of contact for the bid and wider support teams for managing all documentation and information going to and from the client and joint venture partners. This will entail developing and managing; Compliance Registers, Technical Query Registers, SharePoint sites etc

ii. Support the Bid Lead/ Bid Manager/ Project Manager in ensuring all necessary processes are in place in advance of bids commencing in line with the processes in the bid bible.

iii. Manage all document management requirements of bids in line with bid processes and work break down structures, continuously monitoring the application of these to ensure they are up to date and consistently adopted.

iv. Support the Bid Lead/ Bid Manager/ Project Manager to coordinate all bid activities to achieve high financial return and bid scoring.

v. Ensure all information security requirements are in place across bids in line with the relevant information security procedures.

vi. Develop and produce high quality reports on bid progress, metrics and milestones. Prepare presentations in a timely manner in readiness for Board meetings, bid team reporting or other key meetings.

vii. Take ownership of the management of bid diaries and shared calendars, meetings schedules ensuring effective meetings to support bid delivery are established and managed.

viii. Take ownership of action trackers ensure progress of actions are tracked in action logs and distributed, proactively following up with owners prior to completion dates, flagging issues where necessary. Provide administration support to Bid Lead/ Bid Manager/ Project Manager.

ix. Lead preparation materials for meetings and workshops for the bid team, acting as a key point of contact.

x. Responsibility for preparation of weekly and monthly communications and developing bid communications tools for the team.

6.Teamwork
Key to the role is ability to establish effective working relationships within the team and across the bid and wider project and where appropriate Joint Venture Partners.
Responsible for own professional and personal development to ensure continued competence and capability ad-vancement to fulfil the business requirements

7.Financial responsibility
Provide support in raising purchase orders and tracking bid costs against budget.

KNOWLEDGE, SKILLS AND EXPERIENCE:

Business Knowledge
・Understands company policies and procedures
・Understands LCP process and documents
・Understands invoice payment systems

Essential Functional / Technical Skills
・Bid co-ordination experience in a fast-paced environment with multiple work streams in play (preferably with offshore wind experience)
・Experience of bid compliance and supporting bid processes for complex high value bid submissions
・Highly organised with excellent verbal and written communication skills including report writing
・Highly competent in using Microsoft Office packages.
・Ability to analyse data, draw conclusions and report in a clear and concise manner
・Experience of basic financial processes such as invoice processing, raising purchase orders etc
・Understanding of macroeconomic conditions and impact on the business case.
・Ability to distil complex and often conflicting information and communicate on a variety of levels
・(Optional) Commercial knowledge such as finance modelling/business case for supporting project managerial roles
